Volunteers Needed to Help with the 2011 ALUMNI EXHIBITION
To help make the 2011 Alumni Exhibition a big success – we need your help! Below are a list of possible jobs that we need assistance with. Please look it over and see where you might be able to pitch in!!!

1. Administrative – Now and throughout show
Working mostly with Excel and Word Documents
· Organize some spreadsheets and create lists of participants, sales info sheets, etc. – ongoing/as needed
· Create labels for the show (BY Nov1)
· Create exhibition show and price list (BY Nov. 1)
· Draft correspondence (letters/emails) to participants – ongoing/as needed
2. Publicity – Now through show opening Nov. 17
· Write press releases
· Create a list of publications to submit press releases
· Contact publications to try and get press, reviews, etc.
· Create an announcement email for the show (BY NOV 1)
· Design an electronic invitation for the school to send out (BY NOV 1)
3. Art work arrival – NOV. 12
· Check in art work and take notes on the condition of its arrival, any damages
· Unpackaged work - Save and tag packaging with the artist name and the piece,(photograph the piece) for return art work, note any specific instructions.
· Loading the artwork into the gallery and keep the documents in order to correspondence to the artwork
4. Installation of art work NOV. 13-15
We will have one hired person to assist us, but need a small crew to help:
· Hang art work
· Spackle and paint the walls (material list of do and don't haves, hardware and paint)
· Correlate the labels to the artwork
5. OPENING RECEPTION – NOV. 17 – all day
Food-Kitchen
· General help from prepping to arranging serving platters, ( to be determined by the Chef)
Reception
· set up tables, cover with table clothes, place any paper work on the right tables.
· set up wine stations and food stations May have to help make serving platters
· meet and greet help, someone to be familiar with all the artwork and their location, help guest to find a price list,
· assist clients to purchase a work of art, i.e. give clear and efficient information on how the school goes about selling a work of art, gather sufficient and coherent information on buyers behalf and their interest, such as contact information, which piece, method of payment
· Clean-up after!
6. strike show – January 14 & 15, 2012
· Sort out which artwork has been sold, which has not
· Pack artwork to be delivered (sold and unsold)
· Keep track of which sold art work will be picked up, have the person picking up the artwork sign a spreadsheet stating they have picked up the art work.
· Spackle and paint walls
